Getting started
How do I start?
Create an account with your venue’s name. A short wizard asks for your time zone, your positions (like Bar and Floor) and who to invite. Then you set up your first week.
Is the trial really free?
Yes. You use every feature for 30 days and we don’t ask for a card. Afterwards you decide whether to subscribe.
How does my team join?
Send each employee a personal invitation link. Anyone with a BarPlanner account for another venue adds yours to that account.
Your team
Does everyone need to install an app?
No. BarPlanner runs in the browser. Anyone who wants can add it to their phone’s home screen in one tap.
Does my team get notifications?
Yes: in the app, by email and as push notifications, whenever their schedule is published or changed and at every step of a swap request.
Which languages does the app support?
Dutch, French, English, Polish, Spanish, Turkish, Moroccan Arabic, Russian and Ukrainian. Everyone picks their own.
What does an employee see of colleagues?
The published schedule with names and hours. Other people’s phone numbers, availability and drafts stay hidden.
Scheduling
Can someone work different hours than the shift?
Yes. Within a time block each person gets their own start and end time. BarPlanner warns you when you’re short at a given hour.
How do swaps work?
An employee asks a colleague to take over. The colleague accepts, then you approve. Until you decide, the schedule stays the same.
Does BarPlanner track students’ 650 hours?
No. BarPlanner shows planned hours per week and month. The official balance is on Student@work. Our free student-hours counter works out how many hours are left.
Does BarPlanner handle Dimona or payroll?
No, your social secretariat does. BarPlanner gives you the planned hours per person to pass on.
Data and security
Can another venue see my data?
No. Each venue is separated in the application and in the database itself. If someone works at two venues, one only sees that they’re busy elsewhere, not where.
What happens if I stop?
Without a subscription everything stays readable, but nothing can be changed. Your data remains yours.
